HR Administrators

As part of our continued growth, we are looking to recruit 3 HR Administrators (two supporting with the General HR scope of delivery, the other with a greater focus on recruitment and talent.

HR Administrators

As part of our continued growth, we are looking to recruit 3 HR Administrators (two supporting with the General HR scope of delivery, the other with a greater focus on recruitment and talent.

 

Role – HR Administrator

Reporting to: Head of HR

As part of a developing HR team, the HR Administrators will be required to be flexible and able to provide support and cover across all administrative responsibilities and processes.  However, there will also be defined as areas of responsibility:

HR Administrator – with key responsibility for Apprenticeships & Internships

HR Administrator – with key responsibility for HR Data Management

HR Administrator – with key responsibility for Talent Acquisition and On-boarding

 

HR Administrators will be involved in a variety of projects and this role would suit a recent HR Graduate with excellent administration skills.  They will work with the Head of HR, HR Generalist and Senior Recruitment Specialist to support the business and to ensure a smooth administrative operation within the department.

 

General HR Administration Responsibilities

  • Management of employee data in accordance with the General Data Protection Regulations (GDPR) and good practice.
  • Data input into CIPHR (HR System) – full training will be given.
  • Working to ensure that staff training records are kept current and any training courses are booked in a timely manner and communicated to staff.
  • Perform general administration tasks within the HR Department (e.g. filing, employee correspondence, setting up HR-related meetings, booking meeting rooms etc).
  • Management of the HR Mailbox, including answering queries from staff or escalating to HR Generalist as required.
  • Deputising for the HR Generalist, Senior Recruitment Specialist or Head of HR at internal business meetings, as required.

 

Key HR Administration Responsibilities (Talent & On-Boarding)

  • Co-ordination and management of end to end recruitment process to include the following (with input from Senior Recruitment Specialist):
  • Advertising of role on job boards, LinkedIn, company website etc
  • Tracking of applicants
  • Liaising with the Hiring Manager for defined roles
  • Updating recruitment tracker with candidate details
  • Arranging 1st and 2nd round interviews with candidates and working with managers to confirm interview schedules
  • Corresponding with candidates regarding interview and documents they are required to bring to the meeting
  • Sending “regret” notifications to candidates and filing of same
  • Notifying successful candidates and agreeing to suitable start date.
  • Preparing all new hire documents – contract (with Senior Recruiter approval), payroll forms, health questionnaire, next of kin information – and sending to the candidate
  • Setting up HR and Health & Safety inductions for all new starts.
  • Representing Designer Group at careers fairs and other talent acquisition events and contributing positively to the candidate experience.

 

Key HR Administration Responsibilities (HR Data Management)

  • Establishing the employee record (manual and system-based) and setting up defined notifications for key processes such as probationary management.
  • Managing any internal movement or changes in the data record.
  • Supporting the HR Generalist with confirmation of payroll data and benefit enrolment as required.
  • Working with the HR Generalist to ensure that staff training records are kept current and any training courses are booked in a timely manner.
  • Setting up pension information meetings at regular intervals and ensuring effective follow-up.
  • The development and provision of key HR metrics for all reporting purposes.

 

Key HR Administration Responsibilities (Apprenticeships & Internships)

  • Acting as the point of contact to the business for the Apprenticeship programme and Apprentices in situ.
  • Attendance at career fairs and other talent acquisition events for Apprenticeship and Internship intake.
  • On-boarding of Apprentices and Interns.
  • Attending TouchPoint meetings, providing on-going key contact with new recruits.
  • Working with colleagues delivering the Apprenticeship Mentoring Programme to ensure effective recruitment, support and management of the programme. This will include support with performance reviews, attending meetings and the disciplinary process, as required
  • Establishing and maintaining effective networks and contacts with colleges and universities to help to ensure a pipeline of student interns into the business, in conjunction with the HR Generalist and Senior Recruitment Specialist.
  • Supporting hiring managers to monitor the progress of Interns with a view to future hiring needs.

Experience Required

  • Recent graduate in an HR discipline or previous administration experience in a well-established HR team
  • Must be able to maintain high levels of confidentiality at all times
  • Have excellent knowledge of MS Office
  • Have a desire to work in a fast-paced and developing HR environment
  • Have excellent communication and organisational skills
  • Be able to multi-task and perform under pressure
