 As part of our continued growth we are looking to recruit a Facilities Maintenance Administrator, that is passionate about the continued growth and success of the company.

 

Overview:

The role holder will provide administrative support/assist Clients,  and Office team.

 

Duties: –

  • Facilities Maintenance Helpdesk calls / management of same
  • Dispatching Ticket/Job No’s to FM Engineers and monitoring of same
  • Downloading, amendment and reconciliation of FM Engineer’s daywork forms
  • Maintain Ticket No / Dispatch log files
  • Liaising with FM Engineers re various queries / providing support for same
  • Responsible for specific client a/c’s (labour costing, client quotations, client billing, liaising with the client regarding job information and client queries)
  • Staff Timesheet reconciliation / labour hrs costing
  • Drafting of FM client quotations by way of compiling information sent in by FM Engineers
  • Preparation of Facilities Maintenance client billing, in a timely and accurate manner ensuring all Designer Group cost and client rate details are captured accurately
  • Ad hoc Health & Safety documentation drafting and filing
  • Compiling Engineer’s service reports (inspection reports, charts and testing results)
  • Co-ordination of CAFM system and logging work requests as required by client and sites
  • Customer Focused  with daily communication with Client staff, internal staff and sub contractors
  • Assist in compiling of monthly service and payment mechanism reports
  • Additional FM administration duties / cover, as required to include reception

 

Skills and Competencies: –

 

  • 2-3 years in a similar role
  • Attention to detail and organisation of daily workflow
  • Ability to source and reconcile information from multiple sources
  • Proficient IT skills and working knowledge /use of Microsoft Office (Word, Excel etc)
  • Ability to work to deadlines
  • Initiative and ability to follow up on information required to complete the invoicing process
